Job overview
THIS POST IS FIXED TERM UNTIL 31 MARCH 2027 DUE TO FUNDING.
To provide comprehensive clerical, administrative and
secretarial support to the Online CBT Team as well as having the responsibility of organising meetings, preparing agendas and papers, as required and the recording of formal minutes and notes and following up any actions.
Responsible for offering non-clinical support to users of the Online CBT service, registering service users on to the programme, monitoring progress and discharging users when they complete or disengage from the programme.
Support to be provided through the online platform as well as telephone
contact.
An important part of this role is ensuring that patient information is treated confidentially and inputted correctly into the Online CBT Programme.
Main duties of the job
Promote and administer the Online CBT service throughout Powys, including maintaining patient records, registering service users on the programme, providing patients with activation details, corresponding with, monitoring, and offering technical support through the programme.
Providing progress reports and updates to the referring healthcare professionals and GPs through the issuing of letters and feedback forms.
Recording any issues with the Online CBT programme and escalating these to the software provider and track recovery/correction of these issues.
Coordinate and facilitate access to Online CBT service for service users i.e.,book appointments at community sites such as libraries, job centres etc, for service users to access computers/printers to undertake the online programme.
Provide support and advice to all referring healthcare professionals, answering any queries they or their patients may have with regards to the Online CBT service and ensuring they are regularly sent a stock of referral packs to ensure they always have an adequate amount available to them.
Stock control, ensuring that the onsite facilitators and any other referrers have supplies of the consumables required to run the Online CBT service e.g. referral forms, information sheets etc.

Qualifications and/or Knowledge
Essential criteria
- NVQ3 in related subject or equivalent
- GCSE English and Mathematics (grade C or above or equivalent qualification)
- Typing/Word Processing qualification e.g. RSA level 3 or equivalent
- Experience of using Microsoft packages
- Excellent verbal and written communication skills to build effective working relationships with colleagues at all levels
- Evidence of strong administrative and planning skills, ability to plan effectively against multiple concurrent activities and against deadlines
- Minute taking skills
- ability to travel across Powys
- Ability to deal with confidential issues in a professional manner
- Ability to demonstrate assertiveness e.g. planning for a new system change
Desirable criteria
- Experience of supporting programmes /projects ideally within the NHS or a public sector organisation
- Ability to speak Welsh

- Experience of relevant practical administrative work, including arranging meetings, handling telephone enquiries and maintaining office systems both electronic and manual

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
