Job overview

We are currently seeking dedicated Medical Secretaries to join our dynamic teams across our Divisions of Medicine and Surgery. 

This is an exciting opportunity to work at the heart of healthcare, providing essential administrative and secretarial support to consultants, clinicians, and multidisciplinary teams.

Main duties of the job

The post holder will be responsible for checking, monitoring and progressing all aspects of the patient pathway in line with clinical instruction and in accordance with national and local waiting times, liaising directly with the consultant and delegated members of the consultant team, using information reports to assist

They will have expert knowledge of the various patient pathways which include the 18 weeks Referral to Treatment (RTT) rules and ensure application of this knowledge, promoting best practice amongst peers and offering guidance for clinical teams. They will work closely with other members of the clinical admin teams, Team Leaders and the Data Quality Team to ensure consistent approaches are applied to RTT validation. 

They will have skills in all areas of administrative functions to enable them to support the patient pathway, using Standard Operating Procedures (SOP’s) to ensure that functions of the role are carried out correctly and consistently within given timescales. 

Provide a comprehensive range of secretarial duties: clinical correspondence, general letters, all admin duties including phone and post, oversee their Consultants/Clinicians PTL.

Qualifications & Training

Essential criteria
  • Minimum of 3 GCSEs including English and Maths at Grade C or above or suitable equivalent qualification
  • RSA III or NVQ III or suitable equivalent level administrative qualification
  • ECDL or equivalent qualification / demonstrable experience
Desirable criteria
  • Business Administration Level II Apprenticeship

Knowledge & Experience

Essential criteria
  • Previous experience working in a clerical/administrative role
  • Knowledge of medical terminology
  • Demonstrable working knowledge of Microsoft packages including Word
  • Customer care experience
  • Ability to work to and promote Standard operating procedures / performance targets
  • Experience of working within a busy/demanding environment. E.g. Multi-disciplinary team
Desirable criteria
  • Fully conversant with all waiting list functions on PAS and the ability to action these independently
  • Thorough knowledge of health care system and processes
  • Understanding of Primary Care, GP and Community Services
  • Knowledge of Referral to Treatment Patient Access Policies and procedures
  • Understanding of patient priorities and targets in relation to appointments and waiting times, specifically Referral to Treatment
