We are looking for a motivated and detail‑focused Neurosurgical Data Assistant to join our busy Neurosurgery department at Royal Stoke University Hospital. This role supports the collection, entry and maintenance of clinical data for neurosurgical and neuro‑oncology patients, helping ensure accurate information is available for multidisciplinary team (MDT) meetings and service reporting.

Working within clear Standard Operating Procedures, you will retrieve patient information from hospital systems, prepare documentation for MDTs, maintain tracking logs and support the wider administrative and clinical teams. You will handle sensitive information with professionalism and contribute to the smooth running of the service.

Main duties of the job

This role is ideal for someone organised, accurate and confident using IT systems, with a positive attitude toward learning. Full training will be provided, and you will be part of a supportive team committed to delivering high‑quality patient care.

  • Support the preparation of activity data for the Skull Base MDT, including note‑taking and basic data capture.
  • Assist with accurate listing of patients for MDT discussion and ensure relevant information is entered into the Somerset Oncology Database under supervision.
  • Maintain simple tracking systems to identify follow‑up patients seen outside the Skull Base Clinic.
  • Retrieve and organise patient medical records following established procedures.
  • Enter data sets as directed, ensuring accuracy and completeness.
  • Maintain focus and attention to detail when handling sensitive information.
  • Work cooperatively with colleagues to support smooth data collection processes.
  • Assist in raising awareness of the importance of accurate documentation by following agreed procedures.
  • Provide administrative support to the Service Manager and Neurosurgical clinical team, including preparing routine reports and distributing information.
  • Participate in MDT and departmental meetings when required, primarily in a supporting capacity.
  • Identify and report areas where processes could be improved, referring suggestions to senior staff.
  • Monitor data requirements and alert senior colleagues to any issues or gaps.

Detailed job description and main responsibilities

The post holder will support the Neurosurgery department by assisting with the collection, entry and maintenance of patient data, including neuro‑oncology and skull base activity. Working within clearly defined Standard Operating Procedures (SOPs), the post holder will retrieve information from hospital systems such as iPortal and patient notes, ensuring accurate and timely data entry.

The role focuses on preparing information for senior staff, maintaining records, and ensuring required data fields are completed. The post holder will escalate missing or unclear information to senior colleagues and contribute to ensuring that key performance indicators (KPIs) can be met.

The post holder will work closely with the Neurosurgical administrative and clinical teams, providing general administrative support as required.
