Job overview

A fantastic opportunity has arisen to join our well-established, innovative, and award-winning Respiratory Service as a Band 3 Administrator based at Farnham Community Hospital. As the service continues to expand, we are seeking a diligent and organised administrator to support the delivery of high-quality respiratory care across both community and hospital settings.

Working closely with the clinical team, the post holder will play a key role in the day-to-day running of the service. This role often provides the first point of contact for patients, so a friendly, compassionate, and professional approach is essential, along with the ability to work well under pressure. The administrative team is pivotal in supporting service delivery, coordination, and reporting requirements.

The successful candidate will contribute directly to improving the standard of care for patients with respiratory conditions and will have the opportunity to work across a variety of settings, including community hospitals, clinics, and patients’ own homes. Our focus is to support people to manage their respiratory conditions in the most appropriate setting, ensuring patient-centred care at all times. No two days are the same.

The role is predominantly Monday to Friday, 9.00am to 5.00pm.

Main duties of the job

To provide full clerical support to various key functions within the respiratory team. The administrator will provide high level administrative support and general office duties for the Respiratory Teams. The post will involve patient contact via the telephone, often being the first point of contact with the service.

This role includes completing all administrative, information and organisational duties to ensure the smooth running of the team. Managing and reporting data to ensure targets are met. The administrator will work as part of a proficient team in the delivery of a high quality, timely and effective service.  Duties include:

  • Taking telephone enquiries
  • First point of contact for patients and other healthcare professionals
  • Appointment bookings
  • Managing schedules
  • Liaising with patients through correspondence 
  • Support other members of the team with administrative tasks

  • Educated to GCSE level or equivalent, in English.
  • Experience and training to vocational NVQ3 or equivalent

Experience

  • Previous knowledge /understanding or experience of working in an office and/or customer care environment and administrative functions/duties.
  • Ability to work as part of a multidisciplinary team

Skills

Essential criteria
  • Knowledge and experience of navigating around software programmes/packages.
  • Effective Interpersonal & Communication Skills
  • Ability to manage deadlines, plan and organise own workload and that of team.
  • Excellent telephone manner
  • Able to demonstrate awareness of strict confidentiality.
  • Accurate copy and audio typing
  • Good IT skills to be able to enter data and can navigate around various systems and software packages – such as outlook, MS office and the internet.
  • Able to produce minutes.
