Job overview

We are looking for a friendly, organised and proactive Receptionist to join our Occupational Health team at Albany Park, Frimley. As the first point of contact for staff and visitors, you will play an essential role in ensuring our department runs smoothly and professionally.

In this varied role, you will greet visitors, manage enquiries, book appointments, handle departmental post, maintain stock levels and update electronic systems. You’ll also support with routine admin tasks such as sending recall communications and processing vaccination record requests, ensuring all information is handled confidentially and in line with GDPR.

This role is ideal for someone with good communication skills, strong attention to detail and confidence using IT systems. You’ll be part of a supportive team dedicated to delivering a high‑quality service to NHS staff.

Visa Sponsorship:
This position is not eligible for Skilled Worker visa sponsorship. Applicants must already hold the right to work in the UK for the full duration of the contract.

Main duties of the job

  • Welcome all visitors to the Occupational Health Department, determine the purpose of their visit and direct them appropriately.
  • Act as the main point of contact for all enquiries and communications.
  • Book, manage and rearrange clinic appointments using the Occupational Health electronic record system OPAS G2
  • Sort, distribute and manage incoming departmental post.
  • Assist staff with routine queries where required.
  • Monitor stationery and clinical stock levels and place orders through the Trust procurement system.
  • Update and maintain information on the departmental computerised database.
  • Access the TRAC system as needed.
  • Send  patient recall communications.
  • Process Subject Access Requests by providing vaccination records in line with GDPR requirements.
  • Undertake any other administrative duties required to support the Occupational Health Manager and wider team.
  • Ensure all communication is professional, courteous and confidential at all times.
  • Attend departmental meetings and stay updated with relevant information and policies.
