Job overview

We are looking for a motivated and organised Ward Clerk to join our team and play a vital role in supporting the smooth running of the unit. As an integral member of the department, you will provide essential administrative and clerical support to the management team while helping ensure the ward operates efficiently and effectively.

 You will provide a wide range of duties always ensuring an efficient service to the department. 

In this role you will undertake a wide range of general clerical and administrative duties including any speciality specific requirements that are compatible with the duties and responsibilities of the post.

You will also act as a key point of contact for all visitors to the unit and ensure that all patients, visitors, and staff are treated in a courteous, professional, and caring manner and receive prompt assistance when required. 

Main duties of the job

•  To work in a complex multi professional environment and under the guidance of line manager and/or Shift in Charge to manage, prioritise and change workload as required. 

• To work alongside Nurse in Charge, helping with flow of the department. Including discharge i.e., prints discharge papers for patients/relatives (carer)

• Liaise with other departments for example, clinical admin, pharmacy, medical records (daily basis). 

• To provide support to the nursing and medical staff as required and where there is capacity within a job plan to assist with the unit managers general administrative tasks as relevant to the speciality. 

• Make appointments as necessary and to rebook patients if needed. 

• Ensuring adequate levels of ward stock, including order of departmental stationery as required (as appropriate).

• To assist in maintaining a safe working environment at the ward clerk/nurses’ station, ensuring it is organised and clutter free. Contributing to the overall positive presentation of the ward for patients and visitors and to highlight and report any risks within the environment to their line manager and or ‘Shift in Charge.’ 

• Complete pre-admissions administrative tasks in advance for scheduled patients (where appropriate). 

• To assist as required any general administrative tasks as designated by the line manager in line with the duties and responsibilities of the post.
