Job overview

We are seeking a detail-oriented and organised Transport Office Co-Ordinator to support our busy transport and logistics team. The successful candidate will be responsible for ensuring smooth administrative operations within the transport office, handling documentation, coordinating vehicle documentation and providing support to drivers and management.

Main duties of the job

 

·         Provide administrative support to the transport and logistics team.

·         Prepare and manage transport documentation including delivery notes, manifests, and invoice

·         Communicate effectively with drivers, warehouse staff, and external clients.

·         Maintain accurate records of transport and warehouse operations.

·         Monitor compliance with transport regulations and company policies.

·         Monitor and assist quality management systems.

·         Handle incoming calls and emails, resolving queries promptly.

·         Update databases and spreadsheets with delivery and transport information.

·         File and archive documents in accordance with company policies.

We provide a range of non- clinical services to GHNT and other NHS organisations. Our services include: estates, facilities services, procurement, medical engineering and devices, endoscopy decontamination and sterile services, transport, out-patient pharmacy, and prevention & management of violence & aggression training (PMVA). 

In addition we provide consultancy services, advising clients on all aspects of establishing a subsidiary company within an NHS body to the provision of VAT compliance advice.

QE Facilities work to their own Terms and Conditions and these are not the same as Gateshead Health NHS Foundation Trust Terms and Conditions. This is not an Agenda for Change Pay Rate.

Detailed job description and main responsibilities

  • Strong organisational and time management skills.
  • Excellent attention to detail.
  • Confident communicator with good interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.

Knowledge of transport regulations and logistics processes (desirable but not essential).Experience using Quality management systems (QMS) is an advantage

Qualifications

Essential criteria
  • Minimum of 4 GCSE’s, with at least a 4/C in English and maths
  • Willing to undergo any educational/development routes necessary to the role
Desirable criteria
  • Computing GCSE is desirable

  • Excellent communication skills both written and oral.
  • Team player
  • Ability to work under pressure and to tight deadlines.
  • Able to influence and sell in ideas at all levels
