Are you a compassionate team player with a passion for supporting clinical teams and delivering exceptional service? We are looking for a highly organised Medical Secretary to join our Children & Young Peoples support services team to provide vital administrative support to consultant psychiatrists, junior doctors, and healthcare staff.
The role is based at between Orchard House in Leamington Spa and Hunter House at The Railings, Rugby. The ability to travel independently between the sites is a requirement of the role. Travel between sites during the working day will be reimbursed via e-expenses.
We are a team committed to excellence, respect, and integrity. As a key first point of contact, you will help ensure smooth day-to-day work, manage clinics and correspondence, and coordinate a wide range of tasks.
Working collaboratively with the Senior Admin Lead and wider admin team, you'll offer support to junior staff, uphold confidentiality, and support the consistent delivery of high-quality patient care.
Main duties of the job
§ Deliver a professional and confidential secretarial service to medical staff
§ Manage diaries, clinic bookings, and patient follow-up appointments
§ Assist the Senior Admin Lead in coordinating work to support staff to ensure efficient workflow
§ Liaise with patients, service users, and stakeholders in a compassionate and respectful manner
§ Support the coordination of medical rotas and meetings
§ Handle sensitive information with the utmost integrity and discretion

Qualifications
Essential criteria
- Good General Education (eg. GCSE English and Maths A-C)
- QCF Business Administration Level 3 (or equivolent)
- QCF Customer Service Level 3 (or equivolent)
- QCF Team Leading Level 2/First Line Management Level 3 (or equivolent)
Desirable criteria
- Competent in working with & organising multiple consultants/medical professional diaries & clinics
Experience
Essential criteria
- Competent working with a range of Microsoft Office packages (e.g. Word, Excel, Outlook, PowerPoint & Access)
- Experience of working in a busy office/customer care environment
- Experience of working in a supervisory role and delegating work
- Medical secretarial experience
Desirable criteria
- Competent working with EPR (electronic patient record) systems/software
