A great opportunity available for a Band 3 Team Secretary to join our team based at St Michaels Hospital.

The Band 3 Team Secretary provides dedicated administrative support for the South Warwickshire Early Intervention and Enablement Team. This post also provides dedicated administrative support for MARAC (Multi-Agency Risk Assessment Conference) and ensures documentation is recorded on our clinical system.

Main duties of the job

We’re seeking an experienced secretary, who is organised, friendly, approachable, and self-motivated to join our admin team.  Possessing excellent communication skills, both written and verbal is essential, alongside proven secretarial skills and the ability to multitask within a fast-paced environment.

You will need to be a team player and demonstrate sensitivity and confidentiality, due to the nature of our service, with the ability to work autonomously and have a strong work ethic with the flexibility to prioritise a varied workload.

Detailed job description and main responsibilities

Provide an administrative service across all services.

Using our electronic patient record system (SystmOne) you will need to produce accurate data inputting as well as scan, print and upload various correspondence.    

Completing demographics of nominal forms for weekly MARAC meeting, opening/ closing referrals and uploading minutes on System One.

Undertake general office duties as required including filing, photocopying, collating and distributing information, scanning, receipt and distribution of incoming and outgoing mail. 

Maintain spread sheets and databases including the production of regular information reports 

Be responsible for organising and servicing meetings / events as required, 
including room bookings, taking accurate notes, transcription and circulation as appropriate

Procurement - order stationery, clinical supplies and equipment stock. 

Provide flexible administrative and clerical cover as required.  The post holder will be required to provide cover to St Michael's Reception on an ad hoc basis.   The role may also encompass working at another base to provide cover for holidays/ sickness in the local area.

Essential criteria
  • GCSE or equivalent English and Mathematics
  • QCF Business Administration Level 2
  • QCF Customer Service Level 2
  • Excellent communication / customer care skills both written and verbal demonstrating sympathy and compassion
  • Advanced keyboard / IT skills
  • Ability to manage and prioritise own and other's workload and use own initiative
  • Good organisation skills and Good time management skills ability to multitask
  • Good knowledge and understanding of office procedures
  • Understand confidentiality and apply the principles in every day working practice
  • Ability to take and transcribe notes of meetings in a timely manner
