Sirona care & health is looking for a Medical Secretary to join our Children’s Community Health Partnership team in North Somerset . This is a rewarding part-time opportunity to support clinical professionals delivering essential community healthcare services to children and young people across Bristol, North Somerset and South Gloucestershire.
As a Medical Secretary, you’ll play a vital role in ensuring our clinical teams can deliver safe, timely and effective care. You’ll provide high-quality administrative and secretarial support, manage confidential clinical correspondence, coordinate appointments and meetings, and act as a key point of contact for families, professionals and partner organisations.
This is a fast-paced, varied role where your organisational skills, professionalism and attention to detail will make a real impact every day.
Main duties of the job
- Provide comprehensive secretarial/administration support to the clinical and secretarial.
- Undertake any necessary photocopying, filing, and other administrative duties to ensure the efficient running of the office.
- To be responsible for the audio/copy typing of letters, reports, general correspondence and statutory assessments. To arrange and organise meetings as requested by/under the direction of clinical staff.
- To be responsible for requesting test results/investigations/medical records and x-rays as instructed by clinical staff, bringing to their attention any urgent results that need immediate action.
- To act as a contact point and liaise with patients, medical and nursing staff, police and social services, other agencies face to face and over the telephone dealing with queries .
- Ensure that the waiting list targets are met, and pending lists are maintained .
- Ensure that all administrative activity is recorded accurately for activity purposes in a timely manner.
- To effectively deal with professionals’ incoming mail.
- Ensure effective diary systems are updated and maintained.
- To be responsible for recording and booking clinical outcomes, patient telephone follow up appointments on (EMIS).
- To assist in the training of new members of staff/colleagues.

Skills, Experience & Knowledge
Essential criteria
- Excellent interpersonal skills via telephone and face to face, with a variety of colleagues, carers / parents, professionals / agencies both internal and external e.g. consultants, GPs, health visitors, school health nurses, education, social services, multi-disciplinary team.
- Experience of working as part of a team and ability to plan activities of own role.
- Attention to detail to be able to complete tasks accurately and efficiently
Desirable criteria
- Good organisational/prioritization skills, being able to meet deadlines as well as carry out day to day activities of role.
- Good oral and written communication skills e.g. ensuring messages are relayed and written down accurately.
- Awareness of policies and procedures regarding confidentiality and data protection and ensure that these are adhered to with regard to patient records and information requested over the telephone.
- To have the ability to work under pressure.
- To be able to deal with patient queries in a professional, polite, sensitive and understanding manner.
- To be able to promote good working relationships with secretarial colleagues and clinical staff.
- Ability to work across sites in the wider BNSSG area.
Qualifications
Essential criteria
- Sound qualification in English language
- Copy / audio typing experience
- RSA III typing qualification or equivalent
Desirable criteria
- Previous secretarial experience dealing with telephone enquiries, correspondence, office administration and diary management
- Previous experience of typing documents containing specialised terminology
- Experience and understanding of dealing with sensitive and confidential information
- Previous experience of working in a healthcare setting
- Experience of patient booking system ie EMIS

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
