Job overview

We have an excellent opportunity in our Facilities Department, East for an enthusiastic and motivated individual to join our Admin and Clerical team. The Facilities Department has responsibility for Catering, Domestic and Portering Services at Wrexham Maelor Hospital and across Wrexham and Flintshire Community. We are seeking a full time member of staff  to provide an effective comprehensive clerical and office support service to the Facilities team. The Clerical Assistant will be required to support the Senior A & C Support Officer and be able to deal with enquiries promptly and appropriately, which will include confidential and sensitive issues. 

Previous experience of working within a busy multi-disciplinary office environment will be of benefit;

Hours of work – 37.5 a week, variation of hours on rota between 8am and 5pm - Monday to Friday

Main duties of the job

First point of contact for the Facilities Management team by telephone, e-mail, and correspondence, or for their visitors or members of the public making contact with them. 

Deal with enquiries, message taking and redirected as appropriate.

To assist with the provision of an effective comprehensive clerical support service to the locality-based Facilities team.

To respond as requested, to enquiries/correspondence, both written and by telephone, and act on such enquiries promptly and appropriately.

Deal with confidential and sensitive documents/issues, maintaining the strictest confidentiality and discretion at all times. 

Open and distribute and deal with incoming and outgoing mail, to date stamp and distribute appropriately.

Support with the preparation of papers and reports using the Microsoft Office package.

Maintain comprehensive computerised and manual filing system, ensuring information is recorded and stored appropriately. 

Ensure staff information and personnel files are kept secure in line with Health Board policy.

Data inputting duties to ensure maintenance of accurate databases and spreadsheets.

Support with the recording of information as required in respect of timesheets, overtime, sickness absence, annual leave and maintain up to date records for audit purposes via ESR and E-Rostering.

To undertake general office duties, including photocopying, filing and annual archiving as per legal schedules.
