Job overview
An exciting opportunity has arisen to join Powys Teaching Health Board as an Administration Assistant within our Children’s Services team.
This role will primarily support the Community Paediatric Service, which provides assessment, diagnosis, and ongoing management for children and young people across Powys. The service is delivered by a team of Community Paediatricians within the Midwifery, Women and Family Health Directorate, working as part of a whole‑system approach to meeting the health needs of children and young people.
You will play a key part in ensuring the smooth running of the service by providing high‑quality, efficient, and confidential administrative support to clinical teams.
In addition to supporting Community Paediatrics, you will also provide administrative support to wider Children’s Services, as required.
This is an excellent opportunity for a motivated and organised individual to join a friendly and supportive team, contributing to the delivery of high‑quality care for children, young people, and their families across Powys.
Main duties of the job
• Acting as a first point of contact for the department. Answering telephone calls, taking messages accurately.
• Dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to the
relevant departments/person, referring to others as appropriate.
• Updating of electronic and paper-based systems such as WCCIS (Welsh Community Care Information System) and WPAS (Welsh Patient Administration System), collating of information, mail distribution and logging etc.
• Photocopying and word processing documents, letters, emails, minutes and reports when required.

Qualifications and Experience
Essential criteria
- Educated to GCSE level or literacy/numeracy at L1 or equivalent
- RSA/OCR II qualification or equivalent demonstrable skills
Desirable criteria
- NVQ Business Administration Level 2
- Knowledge of the Data Protection Act
Experience
Essential criteria
- Experience of producing correspondence
- Experience of customer service / first point of contact support
- Proven proficiency in the use of IT software
- Knowledge of office practices and able to establish new processes

- Previous experience in an office environment
