Main duties of the job

To provide efficient, proactive and confidential administrative support to the People Business Service teams. 

The post holder will assist in the coordination of DMI Training, maintain accurate administrative and information systems, and provide diary and meeting management support to the Associate Director of People and to Heads of Service where needed. 

This role is key to ensuring the smooth running of team activities and the successful delivery of People Business Services across the organisation.

Detailed job description and main responsibilities

1.    Produce and send Purchase Order’s for training delivered to external customers, for affiliate centres and for courses provided by external companies for the DMI Team 

2.    Produce monthly spreadsheet for finance – this is so that finance can invoice and collect payments 

3.    Ordering of stationery and DMI admin packs 

4.    Issue DMI certificates for external customers and for CPD days 

5.    Booking of train fares & hotel accommodation for DMI trainers and function leadership team 

6.    Support diary management for the Associate Director of People Business Services and service leads by arranging meetings, prioritising appointments, and ensuring papers and actions are prepared in advance. 

7.    Prepare agendas, take accurate minutes, and follow up on actions for meetings as required across the People Business Services, Planning and Redesign function. 

8.    Assist with internal communications such as the preparation of newsletters, bulletins and sharing correspondence across services. 

9.    Process invoices, purchase orders and other administrative documentation in line with organisational procedures. 

Maintain electronic and paper filing systems, ensuring information is stored securely and in compliance with data protection and confidentiality

Qualifications

Essential criteria
  • Educated to GCSE level (or equivalent) including English and Maths or training/qualification in administration, customer service, or related field.
Desirable criteria
  • NVQ Level 3 in Business Administration or equivalent qualification/experience
