Job overview
We are looking for a confident, outgoing individual to join the Bank in the Voluntary Services Team at Frimley Health NHS Foundation Trust.
You will be working with our 700 strong dedicated team of professional volunteers and playing a fundamental part in developing the Voluntary Services Team to support Patient Experience.
As the Bank Volunteer Administrator, you will be crucial in assisting with the recruitment, management, and retention of volunteers. You will be required to undertake a variety of tasks including day to day contact with wards and departments to establish their needs in respect of volunteers and matching the volunteer’s role profile to individual volunteer applicants.

There will be flexibility to be based at both Wexham Park and Frimley Park. However, the post holder may be expected to travel and work at other sites within the Trust.
Main duties of the job
- Assist in the recruitment and retention of volunteers across Frimley Health NHS Trust
- Manage and co-ordinate the team of volunteers based across the Trust
- Work closely with the Voluntary Services Manager to ensure volunteering activity fulfils legislative obligations and meets all the required statutory trust regulations and requirements, in line with Trust policy
- Assist in the recruitment and retention of volunteers across the Trust
Facilitate and attend Volunteer Information events and Volunteer Recruitment events, these may include the occasional weekend or evening - Identify and match volunteers’ skills and interests to appropriate roles throughout the Trust and support new volunteers to settle into their roles
- Liaise with volunteers, staff and departments to ensure the volunteer experience is high quality and our volunteers are making a difference across Frimley Health NHS Trust

Detailed job description and main responsibilities
- Assist the Deputy Voluntary Services Manager in planning, facilitating, and attending volunteer recruitment events
- Develop relationships with volunteer bureau and other organisations to encourage and source volunteers
- Manage the recruitment process and negotiate placement of volunteers, supporting them as they settle into their roles
- Plan and deliver Trust Volunteer Information events and Volunteer Recruitment events, these may include the occasional weekend or evening
- Liaise with volunteers to identify and match their skills to a volunteer role profile
- Provide ongoing support to volunteers and arrange access to appropriate training as needed
- To monitor and oversee the Trust volunteers email account
- Maintain and update our electronic database of volunteers (Salesforce)
- Promote and develop the use of volunteers within the sphere of Patient Experience
- Assist with production of rosters for volunteers’ cross site
- Promote and develop the use of volunteers throughout the Trust including internal presentations and engaging with key stakeholders across the Trust
- Maintain and oversee the electronic database of volunteers using Salesforce software
- Oversee and manage the Trac recruitment system, the online recruitment management system for all volunteers

Essential criteria
- NVQ Level 3 Administration or equivalent practical knowledge
- Familiar in the use of MS Office 365, Word, PowerPoint, Co-pilot, Excel, One Drive and Teams
- Customer facing admin role
- Demonstrate an ability to prioritise and deal with competing workload and pressures.
- Excellent people management experience.

- Customer service background with proven customer service skill
