Job overview
- The key duty of this post is to provide business support to the Chief Officer personally and the Directorate as a whole. This will include project management, monitoring and progress-chasing, the analysis and presentation of particular data and reports, and general support of service improvement and planning for the Chief Officer including diary management.
- The post holder will lead the Business Management functions of the directorate including being responsible for the design, production, analysis and presentation of a range of routine and ad hoc performance and business reports. Ensuring that information provided reflects service practice and is timely, relevant and accurate.
- To undertake project work as directed by the Chief Officer and to hold delegated responsibility for any related budget (up to appropriate financial limits).
- To ensure the maximum effectiveness of the Directorate by planning and managing the diaries and providing proficient secretarial, office management, personal assistant and support services.
Main duties of the job
The post holder will be responsible for
· The day-to-day organisation of the Directorate office
· Knowing the overall priorities of the Chief Officer, interpreting these priorities by planning and managing the diary and facilitating delivery
· Scheduling and following up commitments made by the Chief Officer
· Establish and use effective administrative working protocols and practices within the directorate group, whilst continually reviewing/improving the systems.
· Assist the Chief Officer in developing, implementing and maintaining specific policies, protocols and related systems
· Assist the Chief Officer / Support Team in developing, implementing and maintaining directorate specific policies, protocols and related systems within the directorate.
· Representing and making decisions on behalf of the Directorate which relates to either performance, or business decisions as delegated by the Chief Officer.
· Having delegated budgetary responsibility for expenditure on the Chief Officer's budget and budget responsibility for their project budget.
· Line management of administrative staff within Directorate to include regular supervision schedule and annual appraisal, involving the Chief Officer in objective setting in the appraisal.
· Representing the Directorate at internal and external meetings as instructed.

Summary:
- Build strong internal relationships to support directorate operations
