Job overview

This post is a Fixed Term/ Secondment  for 12 months until 28/02/2027. If you are a Hywel Dda University Health Board employee and are applying for this post as a secondment, agreement for the secondment is needed from your current manager prior to application.

We are looking to recruit a motivated individual to join our Difficult Asthma Team for a one-year project aimed at developing and enhancing our service. This role will make a real difference in patient care and support the delivery of a high-quality pathway for those with complex asthma needs.

As the post holder, you will act as the main point of contact for all administrative tasks related to the Difficult Asthma Biologic Pathway and you will work closely within a multi-disciplinary team, to ensure the management of the patient journey, from referral through to discharge.

You will maintain accurate data on Health Board systems, manage clinic schedules, and ensure compliance with policies for filing and correspondence.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply. 

Main duties of the job

Your responsibilities will include preparing cases for Multi-Disciplinary Team meetings, booking appointments, and ensuring that outcomes are actioned promptly. In addition, you will provide essential administrative support to the Lead Respiratory Consultant for Asthma and the Asthma Interface Specialist Nurses, helping to maintain an efficient and patient-focused service.
 
Help us to keep patient care running smoothly by managing outpatient journeys, coordinating with teams and other Health Boards, and ensuring patients receive timely treatment. You’ll be answering queries, sharing updates, and making sure everything from paperwork to transport is in place.

Qualifications and Knowledge

Essential criteria
  • Level 4 qualification or acquired equivalent experience in Administration or Customer Care
  • GCSE or equivalent in English and Maths, grades A-C
  • High standard of IT knowledge and evidence of working with systems, databases and spreadsheets
  • Knowledge of WPAS
Desirable criteria
  • Knowledge of asthma biologic pathway
  • Degree educated
  • Expert knowledge of WPAS

Experieince

Essential criteria
  • Experience of working in an administrative post
  • Experience of working in the NHS
  • Experience of using full range of IT systems and patient data systems.
  • Experience of using Microsoft Office, including Word, Excel and mail merge.
  • Experience of scheduling outpatient appointments and/or admissions
  • Experience of working in a multi-disciplinary team.
  • Experience of handling patient complaints.
  • Experience of using digital dictation systems.

  • Ability to travel and work at alternative Health Board localities should the need arise
  • Flexible approach to needs of the service
